How to Download and Install Microsoft Office 2019 Products Requested from TechSoup
Learn the new process for obtaining Microsoft Office 2019 products
With Office 2019, Microsoft has changed the way Volume Licensing customers can download and install all Office suites and individual applications, including Visio and Project. Unlike previous editions of Office that were obtained through Volume Licensing, Office 2019 products can't be downloaded directly through the Volume Licensing Service Center (VLSC).
Follow the instructions for the operating system you'll be using.
Windows Download and Installation Instructions for Office 2019
Beginning with Office 2019, all Office products for Windows that are available through Volume Licensing use Click-to-Run technology instead of the traditional Windows Installer technology. To deploy volume licensed versions of Office 2019 products for users in your organization, you'll use the Office Deployment Tool (ODT).
You'll need a broadband Internet connection with download speeds of at least 20 Mbps to download Office 2019 products. Note that Office 2019 products require Windows 10 and will not run on older versions of Windows.
Step One: Register at the VLSC and Accept Your Software Agreement
If you haven't already, register at the VLSC and accept your software license agreement for the Office 2019 products you requested by completing only steps one and two in TechSoup's VLSC quick-start guide.
Step Two: Get Your Office 2019 Product Key from the VLSC
- Sign in to the VLSC.
- Select the Downloads and Keys tab.
- Find your Office 2019 product in the list and click its Key link.
- In the table beneath the name of the product, find your product key in the column labeled Key. The Type column for this key should say MAK, not KMS.
- Office suites have separate setup keys for online functionality like web apps. These keys are not the same as the MAK product keys and cannot be used for volume activation of desktop products.
- Copy the product's individual key from this table and paste it into a program like Notepad or click Export all keys: CSV just abovethe list of products to download a list of keys in comma-separated-values format (which can be opened with Excel). This list contains all Volume Licensekeys associated with agreements in your VLSC profile.
Step Three: Download the Office Deployment Tool (ODT)
- Download the Office Deployment Tool from Microsoft.
- When the download is finished, open it and follow the instructions to extract its contents to a folder of your choice.
- When you are finished, you should have a file named setup.exe and some sample "configuration" files that end in .xml. Delete the .xml files. You only need to keep the setup.exe file.
Step Four: Download and Prepare the Configuration Files
Download the configuration files that you need from the table below by right-clicking the link for the file you need, selecting Save link as..., and saving the file to the same folder where you extracted the setup.exe file in step three.

Next, follow the instructions below to add the product key that you obtained from the VLSC in step two to the configuration file.
- Right-click the configuration file and select Edit to open the file in Notepad.
- Look for the following string of text in the configuration file:
- PIDKEY="#####-#####-#####-#####-#####"
- In this string, replace #####-#####-#####-#####-##### with your MAK client activation key by copying and pasting the key from wherever you saved it. You should leave the quotation marks before and after the key.
- Save the file and close it.
If you requested more than one type of Office product, you'll need to edit the configuration file and add a different key for each product that you received a license for.
If you need additional customization for your deployment and have IT experience, you can use Microsoft's Office Customization Tool to create your own configuration files.
Step Five: Download and Install Your Products
Note that all earlier versions of Office will be uninstalled when you install Office 2019 products, so be sure to save and quit any Office applications that are running.
- Navigate to the folder with your setup.exe and configuration files.
- To prepare for the next step, you'll need to copy the name of the configuration file for the product you want to install. To do this, right-click the configuration file, select Rename, and press Ctrl+Cto copy the file name. Then, click somewhere else in the folder to deselect the configuration file without making changes to its name.
- You'll need to perform the next steps using the Command Prompt, which isa text-based command-line interface that runs within Windows. To open the Command Prompt, hold down the Shift key, right-click somewhere inside the folder with the setup.exe and configuration files, and select Open command window here.
- Type the following into the Command Prompt, but replace "configuration.xml" with the name of the configuration file you copied by right-clicking and selecting Paste within the Command Prompt:
- When you paste the configuration file name, make sure to add .xml ifit's not there already.
- It will look as if nothing is happening, but your product will be downloading in the background. The download will be a large file and might take a while to finish. Once the download is complete, you will be returned tothe Command Prompt.
- When the download has finished, you're ready to install the product. Type the following into the Command Prompt, but once again replace "configuration.xml" with the name of the configuration file you copied by right-clicking and selecting Paste:
- Again, make sure the configuration file name ends in .xml
- When your installation is complete, you'll be returned to the Command Prompt. Close the Command Prompt and return to the desktop. Your Office 2019 products will be installed and ready to use.

macOS Download and Installation Instructions for Office 2019
With Office 2019 products for Mac, you can't download the Office installation files directly from the VLSC. Instead, you'll download an activation tool called the Volume License (VL) Serializer from the VLSC and then separately download the Office installation files from Microsoft through the Office Content Delivery Network (CDN).
The instructions for performing all these steps are provided in the VLSCunder the Downloads and Keys tab for each Office 2019 productfor Mac. We're including those same instructions here with more details for organizations that need more assistance.
Step One: Register at the VLSC and Accept Your Software Agreement
If you haven't already, register at the VLSC and accept your software license agreement for the Office 2019 products you requested by completing only steps one and two in our VLSC quick-start guide.
Step Two: Download and Install the Volume License Serializer
- Sign in to the VLSC.
- Select the Downloads and Keys tab.
- Find your Office 2019 for Mac product in the list and click its Download link.
- Click the Continue button at the bottom of the window.
- Click the download icon (circle with a downward arrow) to download the Volume License Serializer .iso file.
- Once the download is complete, open the .iso file to extract the Volume License Serializer package file.
- Run the Volume License Serializer package file on each computer that you'll be installing a volume licensed Office 2019 for Mac product on.
If you requested more than one kind of Office 2019 for Mac product, you'll repeat this process for each product.
We suggest running the Volume License Serializer before you install your Office 2019 for Mac products in the next step, but you can also run the serializer afterward if you prefer.
Step Three: Download and Install Your Products
The download links to obtain your Office 2019 for Mac products from the Office CDN should be included in the text instructions that appear when you click the Download link for each product in the VLSC.
However, you can also find the download links for the Office 2019 suite andindividual applications directly from Microsoft.
For the Office for Mac 2019 suite, you can choose whether you want the download to include Microsoft Teams (Microsoft's communications platform) or not. After you've downloaded the installation package, open it and follow the instructions to install your product.

Change the product key for your version
How you change the product key depends on your version of Office. Select your Office version from the tabs below.
Best practice for multiple versions of Office
If you bought multiple copies of Office and used the same Install button to install Office on multiple PCs, activation fails on the other PCs. This happens because each Install button is associated with a unique product key that can only be installed on one PC. To fix this, you can change the product key for the other PCs where you installed Office.
Most versions of Office 2021 and Office 2019 don’t include a product key and you only need to sign in with the account already linked to your Office license.
If your version did include a product key, follow the steps under the 2016 tab.
On the device where you want to change the key, open any Office app, select the File menu and then select Account near the bottom of the menu.
Under Product Information, select the Change License button.
If there is no Change License button, you may need to install Office updates.
Do one of the following:
If you're signed in, select Use a different account, and then select Enter product key instead.
If you're not signed in, select Enter product key instead.
Enter your Office 2016 product key, and then select Install this product instead.
If your product key is new, follow the prompts to complete the redemption process.
Office begins the update process. Close all Office apps to finish the process.
Uninstall Office from the PC where activation is failing. To do this, see Uninstall from a PC.
On the PC where you uninstalled Office, sign in to your Services & subscriptions page with the email and password associated with the Microsoft account that was used to install Office.
Reinstall Office by selecting Install Office for a one-time purchase that hasn't been activated. For help with installing Office, see Install Office on your PC or Mac.

After you sign in, you should see a list of Office products that are associated with your Microsoft account.
For the first product that's listed on the page, select View product key. Copy or write down the product key. This is likely the product key that was used multiple times to install Office.
Select View product key for the remaining Office products and copy or write them down. These are likely the keys that you'll use to replace the key that was used multiple times.
On a PC where Office activation is failing, open the Command Prompt as described below:

Now start an Office app, such as Word, and select Next to activate Office over the Internet.
Repeat this process for each PC where activation is failing.
Upgrade from Office 2019 to Microsoft 365
You don’t need to be connected to the internet to use Office apps, such as Word, Excel, and PowerPoint, because the apps are fully installed on your computer.
However, internet access is required to install and activate all the latest releases of Office suites and all Microsoft 365 subscription plans. Microsoft 365 plans also require internet access to manage your subscription account (for example to install Office on other PCs or to change billing options) and to access documents stored on OneDrive, unless you install the OneDrive desktop app.
You should also connect to the internet regularly to keep your version of Office up to date and benefit from automatic upgrades. If you don’t connect to the internet at least every 31 days, your apps will go into reduced functionality mode, which means you can view or print documents but can’t edit them or create new ones. To reactivate your Office apps, reconnect to the internet.
If you're troubleshooting Office and would like to remove the license files on your Mac, you can use the license removal tool. This will completely remove all licenses for Office for Mac.
Important: Before using the tool, make sure you have the correct account info and password associated with your purchase of Office available for when you reactivate.
This tool can also help if you've subscribed to Microsoft 365 but previously had a one-time purchase of Office for Mac on your computer, and aren't seeing certain subscription features. This can be due to your copy of Office still using the license of your one-time purchase and not your subscription.
Before you begin
1. Check what license your version of Office is currently using. See, What version of Office am I using?
Note: If you're looking for subscription features and your version is using a Microsoft 365 subscription license, then you don't need to do the rest of these steps. You're already using the correct license. See When do I get the newest features for Microsoft 365? for more info on why you may not be seeing subscription features yet.
2. If you aren't uninstalling the Office apps to reinstall them later, quit out of all Office apps. If you've already uninstalled Office, go to the next step.
Download and run the license removal tool
1. Download the license removal tool.
2. Open the .pkg file from your Mac's Downloads folder.
Note: If you get an "unidentified developer" error, try opening the file by holding Control + clicking the file > Open.
3. Select Continue and follow the prompts in the setup wizard.
Caution: We recommend you double-check that you have the correct account info ready by logging into Office.com/signin and checking for the license you want to activate with.
4. When you're ready to complete the license removal, select Install. You may need to enter your Mac's local admin account password.
After the tool successfully removes licenses, select Close.
5. Now open any Office app and sign in to activate with the email account associated with your Office for Mac license. If you're troubleshooting an issue, you may need to reinstall Office before signing in.
After you've successfully activated, restart your computer and then you're good to go!
Note: If your account has both a Microsoft 365 for Mac license and a one-time purchase associated with it, you'll be prompted to choose which license you want to activate with. We recommend always choosing Microsoft 365 for Mac if available.
6. Uninstall the License Removal Tool by dragging the Microsoft_Office_License_Removal file from Finder > Downloads to Trash.

Download Windows 11
- An internet connection (internet service provider fees may apply).
- Sufficient data storage available on the computer, USB, or external drive you are downloading the .iso file to.
- A blank DVD disc with at least 8GB (and DVD burner) to create a bootable disc. We recommend using a blank USB or blank DVD, because any content on it will be deleted during installation.
- If you receive a “disc image file is too large” message while attempting to burn a DVD bootable disc from an ISO file, consider using a higher capacity Dual Layer DVD.
- Has a 64-bit CPU: Windows 11 can only run on 64-bit CPUs. To see if your PC has one, go to Settings > System > About, or search “System Information” in Windows and look under “System Type.”
- The Windows 11 ISO is only available for devices with x64 processors. For ARM-based PCs, you should wait until you are notified through Windows Update that the upgrade is ready for your PC.
- Meets system requirements: Not all devices running Windows 10 are eligible to receive a Windows 11 upgrade. See the Windows 11 device specifications for upgrade requirements and supported features. Certain features require additional hardware. We also recommend that you visit your PC’s manufacturer website for information about updated drivers and hardware compatibility.
- WARNING: Installing Windows 11 media on a PC that does not meet the Windows 11 minimum system requirements is not recommended and may result in compatibility issues. If you proceed with installing Windows 11 on a PC that does not meet the requirements, that PC will no longer be supported and won't be entitled to receive updates. Damages to the PC due to lack of compatibility aren't covered under the manufacturer warranty.
Installation instructions (DVD):
- Locate the folder where you downloaded the Windows 11 ISO to.
- To use Windows Disk Image Burner to create the installation DVD, right-click on the ISO file and select Properties. Under the "General tab", click "Change..." where it says, "Opens with:" and select Windows Explorer. Select Apply. This will enable the Burn disc image to display when you right-click on the ISO file.
- To use a third-party DVD burning program, you can right-click on the ISO file and select Open with.
Installation instructions (ISO):
- If you want to install Windows 11 directly from the ISO file without using a DVD or USB flash drive, you can do so by mounting the ISO file. This will perform an upgrade of your current operating system to Windows 11.
- To mount the ISO file:
- Go to the location where you downloaded the ISO file. Then, right-click the ISO file and select Properties.
- On the "General" tab, click "Change…" where it says, “Opens with:" and select Windows Explorer for the program you would like to use to open ISO files and select Apply.
- Right-click the ISO file and select Mount.
- This will create a “virtual” bootable disc. Double-click on it to view the files within. Double-click setup.exe to start Windows 11 setup.

If you have an Office 2019 licence, there may be a Microsoft Office 365 version installed on your PC also, that is a subscription based licence
Are you using Windows 10, if so, open the Settings App (gear icon on your Start Menu)
Go to Apps, then scroll down to fine Microsoft Office 2019, do you see that installed?
If you find Microsoft 365, uninstall it, then restart your PC and open Word, and check if that is working correctly
